Frequency Foundry Inc. (“The Foundry”) offers CRM solutions for organizations. Our products include greymatter Student Lifecycle CRM and associated add-ons, Signal 311 CRM and Prosper Economic Development CRM.

As you interact with The Foundry’s websites, products, and services, we process information from and about you in order to provide access to products, provide our services, or provide support. This means that we collect, use, transmit, store, share, and erase your information.

This Privacy Policy (“policy”) applies to our websites, services, and products including:

  • Visits to our websites (including our blog, help site, and support portal)
  • Use of our websites to sign up for email notifications or newsletters
  • Registering for and using our products or services

This policy describes how The Foundry processes your Personal Information and explains the choices available to you with respect to your Personal Information. We will not use or share your Personal Information with anyone except as described in this Privacy Policy.

We receive and store the Personal Information you provide directly to us when you register for the Services and use the Services.

Our customers may electronically submit data to our services when using the Services. The data varies by feature but may include these types of data:

  • Information collected via forms and/or surveys (these fields are determined by the customer/data exporter and can range from Name and Email Address to free form text)
  • Web-tracking information (IP address, page visit and page view data including timestamps, URLs, duration, operating system, language and linked records, page title)

Frequency Foundry Inc. has no direct relationship with our customers’ subscribers or recipients, and our customers are responsible for making sure they have the appropriate permissions for Frequency Foundry Inc. to collect and process information about those individuals.

Information Automatically Processed when you Visit our Websites, Receive our Emails or Use our Services 

  • When users interact with our Products, user behavior is logged so that we may improve our Logged behavior includes what features are accessed, where the user clicks, how long is spent on a feature, etc. Other usage data such as email and SMS volumes are collected for billing purposes.
  • We automatically collect certain information to track visitor activity on our websites. We use this information to improve the content of our sites as well as to provide visitors with a more relevant overall experience with our organization and our site. This information may include information that identifies you as an individual or relates to an identifiable individual, including: name, title, company name, job function, expertise, postal address, telephone number, or email address. We may also collect other information that does not reveal your specific identity or does not directly relate to an identifiable individual such as browser and device information, information collected through cookies, pixel tags, and other technologies, and demographic information. We never share this information or information you provide us with third parties except to the extent necessary to provide our Service and only to the extent described in the Terms of Service.
  • If you fill out a web form on our site, your information will be stored in our CRM system and some amount of your past browsing on our site may be available to us to determine your interests. We may use this information to more effectively engage with you and improve our site. However, if you use private browsing as described below, you may provide us your information without making your past browsing activity available to us. If you do not wish for us to have your Personal Information, please do not fill out any of the web forms on this site.
  • If you receive emails from The Foundry, we may also use tracking technologies to track opens and Clear GIFs are used in HTML-based emails to track when an email is opened and link redirects are used to track which links are clicked in both HTML and Text based emails. This data allows us to gauge the effectiveness of our communications and marketing campaigns.

HOW WE SHARE YOUR INFORMATION

Service Providers and Subprocessors

The uses trusted subprocessors with the delivery of our Products (Services). These subprocessors have access to Personal Information to provide the Services. All Subprocessors are subject to privacy, security, and confidentiality reviews and are bound by appropriate agreements. Frequency Foundry Inc. will not sell, rent, or trade Personal Information to any third party.

Affiliates

We may share the information we collect with the Frequency Foundry Inc.’ affiliates to provide Support, Customer Success, and other services.

Advertising and Marketing

We may provide information collected when you visit a Frequency Foundry website (such as email addresses) to third-party providers, who may “match” this information in de-identified form to cookies (or mobile ad identifiers) and other proprietary IDs, in order to provide you with more relevant ads when you visit other websites.

You Ask Us to share

If you connect your Frequency Foundry account to a third-party integration, we will share the data necessary for those features to work which may include Personal Information. Examples of these third-party integrations includes SMS connectors and Event connectors.

Compliance with Legal Obligations

We may disclose your Personal Information if required to do so by law or subpoena or if we believe that it is reasonably necessary to comply with a law, regulation or legal request; to protect the safety of any person; to address fraud, security or technical issues; or to protect our rights or property. We will notify individuals or customers of that request unless we are prohibited from doing so by law or court order or there are exceptional circumstances, such as an emergency involving the risk of bodily injury or death to a person or group of people or potential harm to minors.

HOW WE PROTECT YOUR INFORMATION

The Foundry will store and process the Personal Information in a manner consistent with industry security standards. Frequency Foundry Inc. has implemented technical, organizational andadministrative systems, policies, and procedures designed to ensure the security, integrity and confidentiality of Personal Information and to mitigate the risk of unauthorized access to or use of Personal Information, including:

  • Physical and Logical Access Control measures including clear onboarding and offboarding processes, named accounts, need-to-know basis for access, and multi-factor authentication
  • Device and server protections including anti-virus and anti-malware software, endpoint encryption, intrusion detection systems, managed destruction of devices and media, encryption in transit and rest
  • Training for staff in Security and Privacy

DATA RETENTION

Frequency Foundry Inc. will retain personal information for the extent necessary to fulfill the purposes for which it was collected and to provide products and services to our customers. We will delete Personal Information when it is no longer necessary, or upon your request, subject to exceptions as discussed in this policy or under applicable law. Some Personal Information may be deleted automatically based on specific schedules. Additionally, we may retain Personal Information as necessary to comply with legal obligations or resolve disputes, or as otherwise justified by a legitimate interest of Frequency Foundry Inc., subject to applicable laws.

Frequency Foundry Inc. does offer application hosting and data storage where Microsoft Corporation data centers exist.

Frequency Foundry Inc. uses appropriate technical and organizational safeguards for cross-border transfers. When Frequency Foundry Inc. engages in cross-border transfers we rely on:

In general, Frequency Foundry Inc. is the Processor (GDPR) or Service Organization (CCPA), and customers are the Controllers (GDPR) or Business (CCPA). If you are a recipient of a message from a customer and no longer want to be contacted by the customer, please unsubscribe directly from that customer’s email or contact the customer directly to update or delete your data. Similarly, if you are a recipient seeking to correct, amend or delete inaccurate data, you should contact our customer (the ‘controller’ of your data).

OTHER IMPORTANT INFORMATION

Children’s Personal Information

Our website is not intended for minors under the age of 13 and we do not knowingly or specifically collect information about minors under the age of 13.If you believe that we have mistakenly or unintentionally collected such information, please notify us at resonate@frequencyfoundry.com so that we may delete the information from our servers.

 

Business Transfers

We may choose to buy or sell assets and may share and/or transfer customer information, including Personal Information, in connection with the evaluation of and entry into such transactions and based on our legitimate interests.
